Role
Sensitive shipments
Who notices first that the temperature in transit went out of range - you on the road, or the recipient at unloading? With sensitive shipments that is the difference between a correction and a loss.
Intro call
Four questions we would start with
Who notices a departure from the required conditions first?
If it is the recipient at unloading, the decision concerns a batch already delivered rather than one in transit.
Where do the data logger readings go?
If they go into a file opened after delivery, they are evidence rather than a tool for reacting.
What do you not know about a shipment until it arrives?
Usually: whether the conditions were maintained at all and whether anybody checked along the way.
What happens when the conditions were exceeded for two hours?
Whether it is settled who decides to release the batch and on what basis - or whether it is worked out case by case.
We take over the oversight and the documenting, you keep the decision on the batch
Choosing a carrier against the requirements, monitoring conditions, detecting departures and assembling the documentation can be taken off the desk. The decision to release a batch stays with the coordinator.
- A shipment's requirements are recorded, not agreed by phone. - The temperature range, the permissible time out of range and the packaging requirements enter the transport order.
- A departure reports itself during transit, not after. - If the logger data is available on the road, a response is possible. If it is not, at least it is known that the data is missing.
- The decision about a batch has its basis recorded. - Who released the batch after a departure, when and on what basis - in the documentation, not in memory.
Scope
What can be taken off handling sensitive shipments
Nineteen example tasks. Each one has a human approval point. Below is a selection, and the scope we fit to your requirements.
Shipment requirements
- A register of requirements by product and destination market
- Assigning the requirements to the transport order
- A signal when an order has no requirements assigned
- The documents required for the destination and the product
Choosing the carrier and the packaging
- Carriers meeting the requirements for that shipment
- Choosing packaging by transit time and conditions
- Checking the validity of the carrier's certificates
- The choice of solution (decision: the coordinator)
Monitoring conditions
- Logger readings linked to the shipment
- A signal when the range is exceeded in transit
- The status of shipments on the road, by risk
- A register of events with time and place
Departures and decisions
- The duration and scale of the excursion
- Comparison with the permissible departure for the product
- The decision to release or hold the batch (decision: the coordinator)
- Notifying quality and the recipient
Documentation and compliance
- The full evidence of transport conditions with the shipment
- Departures summarised by carrier and route
- Documentation for an audit and for the client
A day's work
Today
- You agree the shipment's requirements by email, separately for every order
- You read the loggers after delivery, if somebody sends them back
- You learn about an excursion from the recipient
- You decide to release a batch with no recorded basis
- You assemble the documentation for the client by hand from several files
- You do not know which carrier has departures most often
With AI assistance
- The requirements come from the register and enter the order
- The readings are linked to the shipment rather than to a separate file
- An excursion reports itself in transit, where the data is available
- The decision about a batch has its basis and its author recorded
- The documentation for the client is complete with no manual assembly
- You have departures summarised by carrier and route
- Shipments within conditions
fewer deliveries with an undocumented journey
the requirements and the readings are linked to the order
- Time to detect a departure
a response is possible in transit, not after unloading
the signal comes from the logger rather than from a file
- The cost of lost batches
fewer batches rejected without an attempt to save them
the departure is known earlier and more narrowly
- Complete documentation
the client and the audit get full evidence of the conditions
the evidence is built with the shipment
We start with the requirements, because without them no reading has a reference point.
- Step 1
A register of requirements by product and market
Ranges, permissible departures, packaging, documents.
- Step 2
Linking the readings to the shipment
Logger data with the order, not in separate files.
- Step 3
Departure signals
Where the data is available in transit, a signal during it; where it is not, immediately after delivery.
- Step 4
Decisions and summaries
The recorded basis for a batch decision and departures summarised by carrier. Last, because it needs history.
Common questions
Questions that come up at the first meeting
What about shipments where a departure disqualifies the batch anyway?
Then the monitoring serves above all to find out earlier and to narrow the scope - which pallet, not the whole delivery. With products that have no tolerance, narrowing the scope is the biggest gain.
Are fewer people enough for sensitive shipments?
The decision to release a batch after a departure is a decision with consequences and it stays with a person. We take over the oversight and the documenting - what today is done after delivery and too late. A coordinator who gets a signal in transit rather than a file after unloading has any chance to react at all. That is a change in what is possible, not in headcount.
Does this fall under the AI Act?
Overseeing transport conditions is not a high-risk use. The data concerns shipments and vehicles; information that could point to particular drivers should serve to explain an event rather than to assess people.

Next step
How many of your sensitive shipments have a fully documented record of conditions?
We will show you what handling sensitive shipments looks like when the reading reaches the shipment and the decision about a batch has its basis recorded.
