Insurance sales are decided in a handful of screens. An agent, a broker or the end customer wants to move from a quote to an issued policy without phone calls, emails and manual re-keying, while the sales director wants to see all of it in one place and settle commissions fairly. The bottleneck is rarely the insurance product. The bottleneck is the software that runs the sale: the agent portal, the quote-and-buy journey and the commission engine.
In our experience, the hard part of these projects is not drawing a form but wiring it to rating, the policy system, payments and the CRM so the whole thing works in real time. We do not have a public case study in this niche, but we do have what matters in practice: people who have built integrations, APIs and transactional systems in regulated industries. So we approach insurance distribution through skills and team augmentation, not through an off-the-shelf box.
Why does insurance distribution now need good tools?
The sales model has fanned out across several channels at once: tied agents, multi-agencies, brokers, bancassurance, direct online sales and comparison sites. Each has different rates, different permissions and a different route to the customer, and yet all of them must work from the same offer and the same policy data. When every channel lives in its own spreadsheet and its own process, the company loses control over who sold what and how much they earned on it.
A good tool does three things at once: it shortens the time from enquiry to policy, it enforces compliance (permissions, disclosure duties, an audit trail) and it gives transparency over sales and commissions. Without that, distribution rests on people’s memory and improvisation, which stops scaling as products and channels multiply.
What should an insurance agent portal include?
An insurance agent portal is where a salesperson works every day, so it has to be fast and unambiguous about who can see and do what. We build it around a few pillars:
- authentication and security - login with MFA, SSO for the sales network, sessions and password policies that meet the requirements,
- roles and permissions (RBAC) - different views for an agent, a team leader, a broker and an administrator,
- access to the offer and policies - current products, documents, the status of applications and the client’s active policies,
- a commission view - a clear preview of accruals and settlements for a given salesperson.
The access hierarchy is key here: a manager sees their structure’s results, an agent only their own clients, and a broker the portfolio of their principals. This permission model later decides whether reporting and settlements can be automated, or whether it ends in manual data wrangling again.
How do you design a quote-and-buy journey that closes the sale?
Quote-and-buy is the heart of online sales and the most demanding part technically, because it has to work transactionally and without downtime. We split the journey into stages and wire each one to the right system:
- data capture and calculation - the form feeds a rating API that returns the premium in real time,
- cover configuration - the client or agent picks variants, sums insured and clauses, and the price recalculates on the fly,
- payment - an integration with a payment gateway handles a one-off or instalment payment,
- policy issuance - once paid, the system creates the policy, generates documents and updates the policy system in return.
We work to make the journey resilient to interruptions: a saved basket, returning to an unfinished application, and handling rating and payment errors. These “boring” edge cases are what decide the close rate, not the look of the form.
How do you build commission processing on a rules engine?
Commissions are where errors and disputes come easiest, because the rules can be dense: one rate for a product, another for a channel, another for the first year, something for renewal, volume bonuses, clawbacks on cancellation. So we build commission processing as a rules engine in which the conditions are configurable rather than hard-coded.
Such an engine calculates commission based on the product type, channel, sales structure and policy events (sale, renewal, cancellation), keeps an audit trail for every accrual, and produces settlements ready for payout and for accounting. When the commission table changes, the configuration changes, not the application. For a sales director that means one thing: settlements nobody has to defend over email.
How do you connect lead management with the CRM?
Selling insurance is a process, not a single click, so a lead needs its own history. We tie the portal and the quote-and-buy journey to the CRM so that every enquiry, calculation and abandoned application lands where the salesperson works. The domain where we are strong is Salesforce and Creatio - these are the platforms on which we most often set up sales and service processes for distribution networks.
From the distribution director’s point of view, what counts is that leads do not get lost and the agent’s work is visible: from first contact, through the calculation, to the issued policy and renewal. The CRM then becomes not one more system to fill in, but the place where the whole funnel is visible and can actually be managed.
How do you build integrations with comparison sites and partners via API?
Some sales now come from outside: from comparison sites, affiliate platforms and bancassurance partners. To turn that traffic into policies, you have to expose and run APIs:
- integration with comparison sites - receiving enquiries, returning the premium from rating and handing back the closed sale,
- partner APIs - embedding the offer in someone else’s process (e.g. alongside a loan or a purchase),
- data exchange with the policy system - a consistent flow of application, policy and statuses.
We treat these integrations like a contract: versioned, documented and monitored, with clear handling of errors and limits. That way, adding another comparison site or partner is a configuration change, not a separate project from scratch.
Which skills do we provide for insurance distribution projects?
Even without a public case study in this niche, we supply the people who build these systems. We shape the team around the specific scope, not “just in case”:
- backend and integrations - developers for APIs, rating, payments and transactional systems,
- CRM - Salesforce / Creatio specialists for sales and commission processes,
- frontend and UX - an agent portal and a quote-and-buy journey that are fast and clear,
- DevOps and security - deployments, monitoring and compliance with industry requirements.
Our engineers have worked on transactional systems and integrations in regulated environments, so they understand the weight of an audit trail, permissions and reliability. Those skills transfer directly to insurance distribution.
How do we do it at RITS?
We work as a nearshore partner from Poland and usually come in through one of two models. For building a new portal or a quote-and-buy journey, a custom software engagement with a clear scope works well. For developing an existing distribution system, we lean on team augmentation or a dedicated team that adds skills where the client lacks them and works under their management.
We verify skills before the start, and working in a close time zone we join the rhythm of code reviews and meetings without a long ramp-up. We place sales processes where we are strong - on Salesforce or Creatio - and wire the rest (rating, payments, the policy system, comparison sites) through integrations. We covered the differences between engagement models in our article on IT engagement models.
Where to start with supporting insurance distribution?
Start from one channel and one product you want to close fully online, and from the question of how many systems the sales journey has to talk to along the way. That defines the portal scope, the shape of quote-and-buy, the commission rules and the roles you need. A first, narrow flow like this gives a measurable result and becomes the template for the next channels.
